Privacy Policy

Last updated: 3 November 2026

This Privacy Policy explains what personal data ERSX collects through ersx.eu and our conversations with you, why we use it, and the choices you have.

1. Who we are

ERSX LTD ("ERSX", "we", "us") is the controller of the personal data described in this policy.

ERSX LTD is a company registered in Cyprus under registration number HE497134, with its registered office at Socratous 15A, Strovolos 2049, Nicosia, Cyprus.

For any privacy question or request, contact us at info@ersx.eu.

2. What we collect

When you use the Start a Conversation form, we may collect your name, role, organisation, email address, phone number, who the enquiry is about, your description of the moment, and when it needs to start making a difference.

Some information is required so that we can respond to your enquiry. Other information, including your phone number and description, may be optional where indicated on the form.

When you communicate with us by email, telephone or during a conversation, we may also collect information you choose to share with us, including information provided in a brief for the preparation of a proposal.

When you visit ersx.eu, we may collect information about how the website is used, such as pages viewed, approximate location, device and browser information, and referring website. See Section 4 for more information about cookies and analytics.

Please do not send us sensitive personal data, for example information about health, about yourself or colleagues. When describing a situation within your organisation, we encourage you to describe roles rather than identify individuals by name.

3. Why we use your information

We use personal data only where we have an appropriate legal basis under the EU General Data Protection Regulation (GDPR).

We may use your information to:

  • Respond to your enquiry and arrange a conversation, where this is necessary to take steps at your request before entering into a possible contract.

  • Prepare a proposal and deliver agreed work, where this is necessary to perform our contract with you.

  • Maintain invoices, accounting records and other business records, where required by law.

  • Understand how ersx.eu is used and improve the website, based on your consent where analytics cookies or similar technologies require consent, or another applicable legal basis where permitted by law.

  • Send occasional ERSX news or updates, but only where you have separately chosen to receive them. You may withdraw that consent at any time.

We do not sell your personal data and we do not use it to make automated decisions about you.

4. Cookies, analytics and embedded content

Some technical storage may be necessary for ersx.eu to function properly, for example to remember your language or cookie preferences. Where storage is strictly necessary for the operation of the website, consent is not required.

ERSX may use analytics services, including Google Analytics, to understand how visitors use the website and help us improve it. Where those services use cookies or similar technologies that require consent, they will only be activated after you have accepted the relevant cookies through our cookie banner.

You can change your cookie preferences at any time through the Cookie Settings link available on the website.

The Thinking section may include embedded YouTube content. Where appropriate, we use privacy-enhanced embedding and configure content so that non-essential tracking does not occur before the visitor chooses to interact with it. Google's privacy terms may apply when you interact with YouTube content.

5. Who we share your information with

We share personal data only where necessary and with service providers that support our operations.

These may include:

  • Framer, which hosts our website and website forms.

  • Microsoft 365, which provides our email services.

  • Our professional accountants, auditors and other advisers, where necessary for accounting, statutory or professional purposes.

  • Partner organisations involved in delivering an ERSX experience, where they need specific information in order to deliver the agreed work.

Where an experience is delivered together with a partner organisation, we share only the information reasonably necessary for that partner to perform its role and, where appropriate, inform you beforehand.

We may also disclose personal data where required by law.

Some service providers may process personal data outside the European Economic Area. Where applicable, international transfers are protected using safeguards recognised under EU data protection law, such as an adequacy decision or the European Commission's Standard Contractual Clauses.

6. How long we keep your information

We keep personal data only for as long as it is reasonably necessary for the purpose for which it was collected and to meet applicable legal obligations.

As a general approach:

  • Enquiries that do not lead to work are normally retained for up to 24 months from our last contact, after which they are deleted unless there is a reason to retain them longer.

  • Client and project information is retained for the duration of our work and afterwards for as long as necessary to meet applicable legal, accounting, tax and company-law requirements.

  • Analytics information is retained according to the settings and retention periods of the analytics services we use.

  • Information used for ERSX news or updates is retained until you unsubscribe or withdraw your consent.

7. Your rights

Under the GDPR and applicable Cyprus data protection law, you may have the right to ask us to:

  • provide you with a copy of the personal data we hold about you;

  • correct information that is inaccurate or incomplete;

  • delete your personal data where applicable;

  • restrict how we use your personal data;

  • object to certain uses of your personal data;

  • provide your personal data in a portable format where applicable; and

  • stop using your personal data for news or marketing communications at any time.

To exercise your rights, contact info@ersx.eu.

We will respond in accordance with the time limits required by applicable data protection law. We normally do not charge for handling a request, although the GDPR permits certain exceptions.

If you are unhappy with how we handle your personal data, you also have the right to complain to the Office of the Commissioner for Personal Data Protection in Cyprus.

8. Security and changes

We take appropriate technical and organisational measures to protect personal data. These include limiting access to people who need the information, using secure HTTPS connections on the website, and using password-protected accounts and two-factor authentication with our service providers where available.

We may update this Privacy Policy from time to time. When we do, we will publish the updated version on this page and change the "Last updated" date above. Where a change is significant and appropriate, we may also notify people with whom we are already in contact.

  • provide you with a copy of the personal data we hold about you;

  • correct information that is inaccurate or incomplete;

  • delete your personal data where applicable;

  • restrict how we use your personal data;

  • object to certain uses of your personal data;
